## Objective Develop an automated workflow that monitors Microsoft Outlook for criminal discovery notification emails from `noreply@hostedbykarpel.com`, downloads the linked discovery documents, identifies the correct Clio Manage matter using the court case number in the email subject, and uploads the documents into the appropriate matter without manual intervention. ## Current Process 1. Receive an email from `noreply@xxxxxxxxxx.com`. 2. Open the email. 3. Click one or more links to download discovery documents. 4. Save the downloaded files. 5. Search for the appropriate matter in Clio Manage. 6. Upload each document into the correct matter. 7. Repeat this process for every discovery email received. This process is currently manual, repetitive, and time-consuming. ## Desired Automated Workflow * Monitor Outlook for new discovery notification emails from `noreply@xxxxxxxxx.com`. * Detect subjects such as: * **Discovery Information Available For Case 26CR12345 On Defendant John Doe** * Extract the court case number (e.g., **26CR12345**) from the subject line. * Search Clio Manage for the matter whose **Client Number** (custom field) matches the extracted case number. * Open each download link contained in the email. * Download all associated discovery documents. * Upload the documents into the corresponding Clio matter, preferably within a designated "Discovery" folder. * Record the processing results in an audit log. * Move or label the processed email. * Notify staff if: * no matching Clio matter is found, * multiple matters match, * a download fails, or * an upload fails. ## Technical Environment * Microsoft Outlook / Microsoft 365 * Clio Manage * Clio API * Microsoft Graph API * Microsoft Power Automate (preferred) * Power Automate Desktop / RPA if needed * Azure Functions or similar cloud service for custom processing, if necessary ## Functional Requirements * Fully automated operation. * Prevent duplicate uploads. * Secure handling of downloaded documents. * Temporary files automatically deleted after successful upload. * Comprehensive logging and error reporting. * Modular design that can be expanded in the future. ## Future Enhancements The solution should be designed so additional automations can be added later, including: * Automatic email filing into Clio. * Calendar creation from court notices. * Automatic document renaming. * OCR of scanned documents. * Discovery categorization. * Attorney and staff notifications. * Additional document management workflows. ## Goal Reduce the staff time required to process discovery, improve accuracy, eliminate repetitive manual work, and create a scalable legal workflow automation platform that integrates Microsoft 365 with Clio Manage.
