IT & AI Automation Manager (Remote) helloworld Travel Dandenong | Full-time | Remote We're rebuilding how helloworld Travel Dandenong runs behind the scenes — not just how we sell travel. We're looking for a senior, remote IT & AI Automation Manager to build the automated backbone of our day-to-day operations, so our Director and our agents can spend more time with clients and less time on manual admin. About Us For over two decades — first as Jetset Travel Dandenong (established June 2005), and as helloworld Travel Dandenong since our 2011 rebrand — we've built one of Melbourne's most trusted travel agencies. Our team of expert consultants specialises in travel to Afghanistan, Iran, Iraq, Pakistan and Saudi Arabia, including Umrah packages at some of the most competitive prices in the country, alongside servicing clients travelling anywhere else in the world. About the Role You'll report directly to the Director and become the person responsible for our technology backbone — turning Microsoft 365 and Claude AI into real operational leverage. Twelve months in, you will have rebuilt our core admin and booking-support workflows around AI-assisted automation, given the Director and the team clear, reliable systems to run the business day-to-day, and become the go-to person for anything IT- or automation-related. What You'll Do • Own and administer our Microsoft 365 environment end to end — Exchange Online, SharePoint, Teams, security & compliance, licensing • Design, build and maintain AI-powered automations using Claude AI to streamline booking admin, client communication, reporting and other repetitive workflows • Translate the Director's day-to-day workflow into documented, automated processes the wider team can follow consistently • Connect our everyday tools — email, Office 365, booking and CRM systems — into automated pipelines that cut down manual data entry • Manage IT security, backups and troubleshooting for a small, specialised team • Train agents on new digital tools and AI-assisted workflows, and provide ongoing hands-on support • Track emerging AI and automation tools and recommend the ones genuinely worth adopting What We're Looking For Required • 5+ years' senior IT support/management experience, ideally supporting a small or mid-size business directly • Hands-on administration of Microsoft 365 (Exchange Online, SharePoint, Teams, Security & Compliance Centre) • Demonstrated experience building automations and workflows with Claude AI or a comparable LLM (ChatGPT, Microsoft Copilot, etc.) • Experience with workflow/process automation platforms (e.g. Power Automate, Zapier, Make) • Comfortable working independently and remotely, with strong written and verbal communication • Ability to document processes clearly enough for a non-technical team to follow Preferred • Experience in the travel industry, or with travel booking, GDS or CRM systems • Connection to, or understanding of, the Afghan, Iranian, Iraqi, Pakistani or Saudi communities and markets; additional language skills (Dari, Farsi, Urdu or Arabic) a plus • A relevant IT or Microsoft 365 certification (e.g. Microsoft 365 Certified: Administrator Expert) • Prior experience setting up AI-driven operations directly for a small business owner or director
