My intake team is drowning in manual data entry. Right now we copy every field from a paper / PDF form into Excel, double-check certifications, confirm sponsors, open SharePoint, create a folder tree, mark a status column, and hope we did not miss anything. Volume spikes each season and the error rate follows. I want to replace this with a single Power Platform application: • Power Apps will provide clean, role-based forms that capture user personal details, certification details, and sponsor details in one pass. • Dataverse stores everything in a relational structure so we can finally dispense with spreadsheets. • Power Automate picks up each submission, classifies the request as federal or affiliate, assigns the correct workflow, and pushes files to a structured SharePoint folder automatically. • AI Builder extracts information from uploaded certificates and validates both professional and academic certifications on the spot; only exceptions surface for review. • Power BI offers a dashboard showing intake volume, turnaround time, and outstanding issues. Key pain point to eliminate: the data entry into spreadsheets step. Deliverables I need from you: 1. A canvas or model-driven Power App with intuitive navigation and field validation. 2. Dataverse tables and relationships pre-populated with required choice sets. 3. Power Automate flows for classification, folder creation, status updates, and notification emails. 4. AI Builder model trained and embedded in the flow to read and validate certificates (professional + academic). 5. SharePoint site structure auto-created by the flow, including unique user folders. 6. Power BI report connected to Dataverse, published with at least three core visuals (volume trend, SLA compliance, error queue). 7. Deployment guide and short hand-off session so my staff can maintain the solution. Acceptance criteria: a) submitting a test form produces a SharePoint folder, sets an initial status, and logs an entry in Dataverse within 30 seconds; b) AI Builder correctly extracts and validates sample certificates with at least 90 % accuracy; c) dashboard refreshes and reflects the new record without manual intervention. If you have delivered similar Power Apps-Dataverse solutions, I would love to see them. Let’s eliminate the spreadsheet shuffle once and for all.
