# Build "Wilson's AI Bookkeeper" Using Claude AI ## Project Overview I am looking for an experienced AI automation engineer to help me build a personal AI bookkeeping assistant called **Wilson's AI Bookkeeper**. **This is NOT a traditional bookkeeping project.** The goal is to design and build an AI-powered workflow using **Claude (Anthropic)** that performs nearly all of my monthly bookkeeping tasks while allowing me to review and approve the final results before they are posted to QuickBooks Desktop 2024. I am **not** looking for someone to manually perform bookkeeping. I am looking for someone who understands AI agents, workflow automation, accounting systems, and Windows desktop applications. --- ## My Current Environment * QuickBooks Desktop 2024 * Windows PC * Square (customer invoicing and payment processing) * PayPal * American Express * Business checking account * Two additional business credit cards --- ## My Vision At the beginning of every month, I want to tell Claude something like: > **"Claude, do my bookkeeping for last month."** Claude should then execute a repeatable workflow that: * Downloads transactions from my bank. * Downloads American Express transactions. * Downloads PayPal transactions. * Downloads Square transactions. * Reviews all activity. * Detects duplicates. * Matches deposits. * Categorizes expenses. * Records merchant processing fees. * Imports customer invoices from Square. * Maps revenue into the correct QuickBooks income accounts. * Identifies transfers. * Reconciles accounts. * Produces a list of exceptions requiring my review. * Waits for my approval before posting anything into QuickBooks Desktop. The objective is **accuracy, consistency, and automation**, while keeping me in control of the final approval. --- ## Square Requirements Square is the most important integration. Claude should import: * Customer name * Invoice number * Invoice date * Line-item descriptions * Invoice details * Gross payment * Processing fee * Net deposit * Refunds and adjustments Revenue should automatically map into the correct QuickBooks income accounts such as: * Website Development * Website Hosting * IT Consulting * Business Consulting * Other service categories Processing fees should automatically post to my Merchant/Credit Card Processing Fees expense account. --- ## Expense Categorization Claude should learn my chart of accounts and automatically classify recurring vendors and transactions. Examples include: * Software subscriptions * Office supplies * Utilities * Internet * Telephone * Insurance * Fuel * Travel * Meals * Professional services Transfers between accounts should never be treated as income or expenses. --- ## What I Need Help Building I am looking for someone who can help design the overall architecture and implement it. This may include: * Claude Desktop * Claude Code * Anthropic APIs * Model Context Protocol (MCP) * QuickBooks Desktop SDK * QBXML * Square API * PayPal API * Windows automation * PowerShell * Python * Local automation * Secure credential management * AI workflow orchestration I am open to the best technical approach.
